Make a rent receipt in three steps

  1. Enter your details as the landlord and the tenant’s name — sample data is one click away if you want to see the layout first.
  2. Add one line for the rent, and put the period and the property in the description: “Rent, 1–30 June 2026, 14 Oak Street, Apt 3”. Set the payment method and the date paid.
  3. Download the PDF and send or hand it to the tenant. The document is marked PAID with the method and the date.

The standard format for a rent receipt

A rent receipt exists so that months later neither side has to remember. It should carry the tenant and landlord names, the property address, the amount, the date paid, the rental period the payment covers, and the payment method. The period is the field people leave out and then wish they had: “$1,400 received” is much weaker evidence than “$1,400 received for June”.

That is the whole format for a rent receipt — there is no official form to copy. Any rental receipt that carries those seven things is valid; the layout below simply puts them in the order a tenant, an accountant or a housing office expects to read them, and numbers each receipt so a year of payments lines up in sequence.

Rental receipt for a room, a garage or a short let

The same rental receipt works for anything let out by the period: a room in a shared flat, a parking space, a storage unit, a holiday let or a sublet. Put what was rented and the dates in the description line — “Room 2, 1–31 July 2026” — and the receipt reads correctly whatever the property is. Rent one property to several tenants? Make one rental receipt per tenant per period rather than a single combined one.

Cash rent is the case that actually needs a receipt

When rent is paid by bank transfer, both sides already have a record. Cash leaves no trace, so the receipt is the only proof the payment happened at all — for the tenant that they paid, and for the landlord that the tenant did not pay more than they say. If you accept cash rent, write the receipt at the moment you take the money, not later.

Rent receipt, rent invoice, or lease?

  • Lease — the agreement that sets the rent and the terms. Signed once.
  • Rent invoice — asks for a payment that has not been made yet. Use the free invoice generator if you send rent demands.
  • Rent receipt — confirms a payment that has been made. This page.

If you already made an invoice for the rent, the receipt generator converts a paid invoice into a receipt in one click, so you do not retype anything. For other kinds of payment, there are also cash receipt and donation receipt templates.

Frequently asked questions

What has to be on a rent receipt?

A rent receipt should name the tenant and the landlord, state the amount paid, the date it was paid, the rental period the payment covers, the property address, and how it was paid — cash, bank transfer, cheque or card. Anything that lets both sides prove later which month was paid and by whom.

Does a landlord have to give a rent receipt?

It depends where the property is. Some jurisdictions require a receipt for every payment, some only for cash, and some only when the tenant asks. Cash is the case where a receipt matters most, because there is no bank record on either side. Check the rule that applies to your state or country — this tool does not give legal advice.

Is this rent receipt template free?

Yes — free, no account, no watermark and no limit on how many receipts you create. Fill in the fields and download the PDF.

Can I use it for a monthly tenancy?

Yes. Write the period the payment covers in the description line — for example "Rent, 1–30 June 2026, 14 Oak Street, Apt 3" — so each receipt clearly maps to one month. Create a new receipt each time rent is paid.

Is a rental receipt the same as a rent receipt?

Yes — “rental receipt” and “rent receipt” are two names for the same document: proof that a tenant paid rent for a stated period. The same template covers a flat, a room, a garage, a storage unit or a short let; only the description line changes.

Is there an official format for a rent receipt?

In most places there is no official form. A search for a “format for rent receipt” is really a search for the field list: the accepted format is simply the seven fields above — tenant, landlord, property, amount, date paid, period covered and payment method — laid out clearly and numbered. Some jurisdictions add their own requirements, so check the rule where the property is.

Where is my data stored?

Only in your browser. The PDF is generated on your device — there is no server and no copy of your receipts or your tenants’ details anywhere.

What is the difference between a rent receipt and a rent invoice?

A rent invoice asks for the rent; a rent receipt confirms the rent was paid. The invoice comes before the payment, the receipt after it, and the receipt is what a tenant keeps as proof.
