The standard format for a rent receipt
A rent receipt exists so that months later neither side has to remember. It should carry the tenant and landlord names, the property address, the amount, the date paid, the rental period the payment covers, and the payment method. The period is the field people leave out and then wish they had: “$1,400 received” is much weaker evidence than “$1,400 received for June”.
Those seven things are the working format for a rent receipt. This template is not an official form; the layout simply puts them in the order a tenant or an accountant expects to read them, and numbers each receipt so a year of payments lines up in sequence. Where a law sets the content, follow it — see the example below.
When the law requires a rent receipt: one example
Rules differ by state, and sometimes by county. Maryland shows the range in a single section, Real Property §8-205:
- Statewide, the landlord or agent must give a receipt if the tenant pays in cash or asks for a receipt.
- In Anne Arundel County, unless the tenant pays by check or the lease is commercial, the landlord must give a receipt for every payment, showing the payment and the time period it covers.
- A landlord who fails to give a required written receipt owes the tenant $25, on top of any other penalty.
The sample above records the period in the description line, the amount, the date paid and the method (“Payment method: Cash”), which covers what that section asks a receipt to show. Other states and cities set their own rules — check the one where the property is.
Rental receipt for a room, a garage or a short let
The same rental receipt works for anything let out by the period: a room in a shared flat, a parking space, a storage unit, a holiday let or a sublet. Put what was rented and the dates in the description line — “Room 2, 1–31 July 2026” — and the receipt reads correctly whatever the property is. Rent one property to several tenants? Make one rental receipt per tenant per period rather than a single combined one.
Cash rent is the case that actually needs a receipt
When rent is paid by bank transfer, both sides already have a record. Cash leaves no trace, so the receipt is the only proof the payment happened at all — for the tenant that they paid, and for the landlord that the tenant did not pay more than they say. If you accept cash rent, write the receipt at the moment you take the money, not later.

What has to be on a rent receipt?
A rent receipt should name the tenant and the landlord, state the amount paid, the date it was paid, the rental period the payment covers, the property address, and how it was paid — cash, bank transfer, cheque or card. Anything that lets both sides prove later which month was paid and by whom.
Does a landlord have to give a rent receipt?
It depends where the property is. In Maryland, for example, Real Property §8-205 requires the landlord to give a receipt when the tenant pays in cash or asks for one — and in Anne Arundel County for every payment not made by check, showing the payment and the period it covers. Cash is the case where a receipt matters most, because there is no bank record on either side. Check the rule that applies to your state or country — this tool does not give legal advice.

Is there an official format for a rent receipt?
This template is not an official form, and the law quoted on this page lists what a receipt must show rather than a layout — Maryland’s §8-205, for Anne Arundel County, asks for the payment and the time period it covers. A search for a “format for rent receipt” is really a search for the field list: tenant, landlord, property, amount, date paid, period covered and payment method, laid out clearly and numbered. Check whether the place where the property is adds requirements of its own.

What is the difference between a rent receipt and a rent invoice?
A rent invoice asks for the rent; a rent receipt confirms the rent was paid. The invoice comes before the payment, the receipt after it, and the receipt is what a tenant keeps as proof.
