Make a payment receipt in three steps

One template for every payment method

Card and bank payments leave a record at the bank, but the payer usually still wants a document that names what the payment was for — for their own books, an expense claim or a tax file. The method field on the receipt says how the money arrived, and the line items say what it paid for. Those two lines are what separate a useful receipt from a bank notification.

Partial payments and deposits

When a client pays part of an invoice, issue a receipt for the amount received and put the invoice number and the remaining balance in the notes. Do the same for a deposit taken before work starts: the receipt confirms the deposit, and the final invoice later shows it as already paid. Issuing one receipt per payment keeps the trail simple if anyone asks what was paid and when.

What should a payment receipt include?

A payment receipt should show who paid and who received the payment, the amount, what it was for, the date the payment was received, and the payment method. How do I write a receipt for a partial payment?

Issue the receipt for the amount you actually received, not the invoice total, and write the invoice number and the remaining balance in the notes — for example “Partial payment toward invoice #1042; balance due $600”. The receipt mode of this tool does not print a balance line, so the note is where that information goes.

What is the difference between a payment receipt and an invoice?

An invoice asks for payment; a payment receipt confirms a payment was received. If you already sent an invoice, the receipt generator can turn it into a receipt in one click without retyping.
